We’re thrilled to introduce several new features designed to improve communication, streamline student management, and simplify scheduling and onboarding. Here’s a breakdown of what’s new:
Event-Based Auto-Notifications for Students
Stay informed and never miss an important update with our new event-based notifications. These updates ensure you’re always in the loop about your clinical placements and onboarding requirements. Notifications will now be sent for the following events:
- A schedule is confirmed by your school.
- A site updates your schedule details.
- Onboarding requirements are approved or not approved.
- A new message is received from your site or school.
- A schedule is canceled by the site or school.
These notifications enhance communication and ensure you can take timely actions to stay compliant with onboarding requirements.
Notifications for Schools: Stay on Top of Student Activities
Schools will now receive key notifications to monitor student-related activities and onboarding progress effectively. Notifications include:
- Student begins fulfilling onboarding requirements.
- Student submits all onboarding requirements.
- Onboarding requirements are not approved for a student.
- Student becomes compliant for a schedule.
- A site replaces or removes a student from a schedule.
These updates empower schools to respond quickly to changes, approvals, or reassignments, ensuring smooth schedule management.
Improved Student Management on Schedules
We’re introducing a streamlined process for managing student assignments, including editing details, removing students, and replacing them if they drop out for any reason. Here’s what you can do with this new feature:
- Access and Edit:
Navigate to the schedules and onboarding screen, then click the edit icon for a specific schedule to view the assigned student. - Update Details:
- Edit a student’s first and last name at any point during the schedule.
- Edit a student’s email address, provided the schedule has not yet been confirmed.
- Remove Students:
Remove a student from a schedule before they begin onboarding. - Replace Students:
Replace a student with one from the pre-populated dropdown list or add a new student and assign them to the schedule.
This feature gives you greater control over student assignments while maintaining the integrity of the onboarding process.
Note: Students can only be replaced or removed until they begin fulfilling their onboarding requirements.
Access to Release Communications
Stay updated on the latest Exxat One features and improvements. Simply click the megaphone icon at the top of your screen to access release notes directly in the Help Center.
Introducing Ask Leo: Your AI Support Assistant
Meet Leo, our new AI-powered chat bot designed to provide instant support on Exxat One. With access to our Help Center documentation, Ask Leo can:
- Answer product-related queries.
- Guide you through the platform.
- Clarify feature-related questions in real time.
Leo saves you time by delivering quick, reliable assistance without the need for external support.
Introducing Payment-Required Availability Tags
We’ve added a new feature to help identify availabilities that require payment from you or your students to unlock access to confirmed schedules. This applies when a site chooses not to cover the cost of student access.
- Visibility in Availabilities List: Availabilities from sites that do not cover schedule access costs will now display a “Payment Required” tag in the list view of opportunities. This tag ensures you are informed when a payment is needed to access schedules for a specific site.
This enhancement promotes transparency and provides clarity when managing slot requests, schedules, and payments.
Student Payment for Unlocking Schedules
In cases where a site does not cover the cost of schedule access, you now have the option to make a direct payment to unlock your confirmed schedules.
- Locked Schedules: Schedules requiring payment will display a “Locked” tag on the schedule card, indicating that access is restricted until payment is made.
- Easy Payment Process: Simply click the “Pay Now” button on the schedule card to complete the payment and unlock the schedule details. Once unlocked, you can proceed with the onboarding process.
This feature offers flexibility, ensuring you can access your schedules without unnecessary delays caused by payment requirements.
